How to Plan a Wedding in Sarasota, Florida — The Complete Guide
Planning a wedding is one of the most exciting (and honestly, most overwhelming) things you'll ever do. Add "in a city you might not live in" to that sentence, and suddenly you're Googling at midnight wondering where to even start.
If Sarasota is on your radar — whether you grew up here, fell in love with the Gulf Coast on a vacation, or just know this is the backdrop your wedding deserves — this guide is for you. I'm Savannah, the lead planner and owner of Peony Wedding Co., and I've spent years helping couples pull off beautiful, seamless weddings all across Sarasota, Tampa Bay, and St. Pete. This is everything I wish every couple knew before they started planning.
Grab a coffee. Let's get into it.
First: Why Sarasota?
Sarasota is genuinely one of the most stunning places in Florida to get married — and I say that as someone who has planned weddings all over the state. You have world-class beaches, historic estate venues, lush botanical gardens, and a downtown arts scene that gives the whole city a cultural depth you don't always find in beach towns. The food is incredible, the vendor community is collaborative and talented, and the scenery sells itself.
It also has a reputation for being a little more intimate and refined than Miami or Orlando. If you want that elevated Gulf Coast feel without the chaos of a major metro, Sarasota delivers every time.
How Far in Advance Should You Start Planning?
This is the first question almost every couple asks, and the honest answer is: earlier than you think.
For a Sarasota wedding, here's a general planning timeline to work from:
12+ months out
Set your overall vision and non-negotiables
Establish your budget
Start your venue search (the most popular venues book 12-18 months out)
Hire your wedding planner
9-12 months out
Book your photographer and videographer
Secure your caterer (if not venue-provided)
Book your florist
Book your band or DJ
Start your guest list
6-9 months out
Send save the dates
Book hair and makeup
Start dress shopping (alterations take time)
Finalize your ceremony details
4-6 months out
Send formal invitations
Book transportation
Finalize your menu
Schedule vendor check-ins
1-3 months out
Confirm all vendors in writing
Build your day-of timeline
Plan your rehearsal dinner
Handle final dress fitting
2 weeks out
Send your vendor packet with final timeline and contact sheet
Confirm headcount with caterer
Do your venue walkthrough
Week of
Confirm arrival times with every vendor
Prepare your emergency kit
If you're working with a shorter timeline, it's not impossible — but you'll want a planner in your corner early to navigate what's still available. [LINK: Can You Plan a Wedding in 6 Months? Here's What to Know]
Choosing Your Sarasota Wedding Venue
Your venue is the decision that shapes everything else — your guest count, your aesthetic, your catering options, and often your budget. Sarasota has a genuinely impressive range, so before you start touring, get clear on a few things:
Indoor, outdoor, or a mix?
How many guests are you expecting?
What's the overall vibe — beachside, garden, historic, modern?
Does the venue provide catering in-house, or will you bring your own?
Here's a breakdown of the venue categories you'll find in Sarasota:
Historic Estate Venues
These are my personal specialty and some of the most stunning properties in the area. Think sweeping grounds, architecture with real character, and a sense of place you can't manufacture. Powel Crosley Estate and Phillippi Estate Park are two standouts — both offer that old Florida grandeur with gorgeous outdoor ceremony spaces and flexible layouts.
Botanical and Garden Venues
If you want lush, romantic, and full of texture, Sarasota's garden venues deliver. Marie Selby Botanical Gardens is one of the most breathtaking ceremony settings in the state, with layered greenery and waterfront views.
Beachfront and Waterfront Venues
Sarasota has access to some of the most beautiful Gulf Coast beaches in Florida, and several venues put you right on the water. Keep in mind that public beach weddings require permits and have their own logistical considerations — your planner can help you navigate that.
Hotel and Resort Venues
Great for destination weddings where guests are traveling in. They typically bundle accommodations, catering, and event space, which simplifies the planning process considerably.
Unique and Nontraditional Spaces
Sarasota's arts district and historic downtown have some truly one-of-a-kind event spaces if you want something less traditional. These often require more vendor coordination but can create an incredibly personalized experience.

Building Your Vendor Team
After your venue, your vendor team is the most important investment you'll make. In Sarasota, there's a strong community of talented vendors who work together regularly — which matters more than couples often realize. A team that has worked together before moves through the day with fewer friction points.
Here are the vendor categories to prioritize, roughly in the order you should book them:
Wedding Planner
I always say this first because I mean it: your planner is the only vendor whose entire job is to advocate for you. They help you avoid costly mistakes, manage your timeline, coordinate every other vendor, and handle every problem before you ever know it existed. If you're planning from out of town, a planner is non-negotiable. [LINK: What Does a Wedding Planner Actually Do? A Honest Breakdown]
Photographer
The most sought-after photographers in Sarasota book out 12-18 months in advance. Do not sleep on this one. Your photos are the thing you'll have forever — invest accordingly.
Videographer/Content Creator
Increasingly, couples who skip video regret it. A well-edited highlight film captures things photos simply can't — the sounds, the movement, the feeling of the room. Content Creators are such an amazing addition to your wedding. These videos get looked back on more frequently than traditional videography, and are my personal preferred addition if there is room in your budget!
Florist
Sarasota florists range from full-service studios to boutique designers, and the difference in aesthetic and approach is significant. Look at their actual portfolio, not just their Instagram grid. You want to see work that reflects your vision.
Catering
If your venue doesn't provide in-house catering, you'll need a licensed caterer. In Florida, food service at events is regulated, so don't try to DIY this one. Your caterer will typically also handle rentals like linens, plates, and glassware — or can point you toward a trusted rentals vendor.
Hair and Makeup
Book a trial. Always. Especially in Florida's heat and humidity, you want to know your look will hold up through an outdoor ceremony in August.
Band or DJ
Your entertainment sets the energy for the entire reception. Listen to live samples or full DJ sets, not just highlight clips. Ask what happens if someone gets sick. Have a backup plan.
Officiant
If you have someone in mind — a family member, a friend — make sure they get ordained well in advance and understand Florida's legal requirements for marriage. If you're looking for a professional officiant, ask your planner for referrals.

Understanding the Sarasota Wedding Budget
Wedding budgets in Sarasota vary enormously depending on guest count, venue, and how many upgrades you layer in. That said, here's a realistic breakdown of where most couples are spending:
Average wedding budget in Sarasota: $30,000 to $80,000+
Category % of Total Budget
Venue 25-35%
Catering and bar 30-35%
Photography 10-12%
Florals and decor 8-12%
Music and entertainment 5-8%
Planner/coordinator 5-8%
Hair and makeup 2-4%
Transportation 1-3%
Stationery 1-2%
Officiant 1%
Miscellaneous/buffer 5%
A few things to keep in mind for Florida weddings specifically:
Outdoor venues may require tent rentals, lighting, and generator rental, which can add $5,000-$15,000 to your budget depending on the scale
Vendor travel fees apply if your venue is outside the main Sarasota corridor
Florida sales tax applies to most services
Tips for your vendor team are customary and worth budgeting — typically $50-$200 per vendor depending on the role

Weather in Sarasota: What Every Couple Needs to Know
Florida weather is one of the biggest logistical considerations for an outdoor wedding — and one of the most underestimated by couples who don't live here. Here's the honest breakdown:
The shoulder months: October through April
This is Sarasota's sweet spot for weddings. Temperatures are in the 70s and low 80s, humidity is manageable, and the risk of afternoon thunderstorms is much lower. January through March can occasionally bring cooler evenings, which guests actually tend to love.
The rainy season: May through September
Florida's rainy season is real. Afternoon thunderstorms can roll in fast, typically between 2-5pm, and they're often intense even if they pass quickly. This doesn't mean you can't get married in the summer — many couples do — but it means you need a solid rain plan and ideally a venue with covered backup options.
Hurricane season: June through November
Peak hurricane season in Florida runs through October. The probability of a direct hit is low, but it's worth discussing weather clauses with your venue and vendors before you sign contracts, and considering wedding insurance.
The heat factor
Even in the "good" months, Sarasota can hit 85-90 degrees in October. If you're planning an outdoor ceremony, consider a morning or evening start time to avoid peak afternoon heat, and make sure your venue has shade or airflow solutions.
The short version: October through April is the sweet spot. If you're flexible on dates, I always steer couples toward November through February for the most predictable, comfortable conditions.

The Best Months to Get Married in Sarasota
January and February — Peak season. Gorgeous weather, snowbirds in town (which can affect hotel availability), and high demand for venues and vendors. Book early.
March and April — Still beautiful, slightly warmer toward April. Spring break can affect hotel rates and traffic.
May — The transition month. Can be lovely, but humidity is creeping up and afternoon storms start becoming a factor.
June through September — Summer in Florida. Hot, humid, and rainy season is in full swing. Budget-friendly, but you'll need a solid indoor or covered backup plan.
October — One of my personal favorites. The rainy season is winding down, temperatures are dropping, and the light in October is absolutely stunning. Just keep an eye on extended weather forecasts.
November and December — The holidays bring a warm, festive energy to Sarasota weddings. Weather is reliably beautiful. December books fast.
Planning a Destination Wedding in Sarasota
If you're coming from out of state, a few additional things to keep on your radar:
Visit before you commit. If at all possible, do an in-person venue tour before signing a contract. Photos and virtual tours only tell part of the story.
Hire a local planner. I can't stress this enough. A planner who is embedded in the Sarasota vendor community has relationships that translate directly into better vendor availability, honest referrals, and real-time problem solving on your wedding day. [LINK: Why You Need a Local Wedding Planner for a Destination Wedding]
Plan a welcome event. If you have guests traveling in, a welcome dinner or happy hour the night before creates connection and takes the pressure off the wedding day itself to be the only time you see everyone.
Florida marriage license requirements. You do not need to be a Florida resident to get married here. You'll need to apply for your marriage license in person at a Sarasota County courthouse, and there's a three-day waiting period unless you complete a premarital preparation course (which waives the waiting period). The license is valid for 60 days.
Why Work With a Sarasota Wedding Planner?
Planning a wedding is a full-time job. Couples who try to manage every detail themselves — especially from out of town — consistently underestimate how much time, energy, and expertise is involved. A planner doesn't just help you find vendors. They negotiate contracts, manage your timeline, build your vendor packet, run your rehearsal, and make sure your wedding day runs the way it was supposed to.
At Peony Wedding Co., we work with couples across Sarasota, Tampa Bay, and St. Pete at every level — from full-service planning to day-of coordination. We specialize in historic venues, intimate estate weddings, and couples who want their day to feel personal, not cookie-cutter.
